01 Bookings

1. All bookings are subject to availability and confirmed only upon receipt of full payment and a booking confirmation email from BookSaudia.
2. You must provide accurate passenger details at the time of booking including full names and document information as required by the Saudi Transport Authority.
3. Bookings made by travel agents or corporate accounts on behalf of third parties are subject to the Agent Portal Terms & Conditions in addition to these Terms.
4. BookSaudia reserves the right to refuse any booking at its absolute discretion.

02 Pricing & Payment

1. All prices displayed on booksaudia.com are inclusive of VAT where applicable and represent the total price payable. There are no hidden fees.
2. Payment is required in full at the time of booking unless a credit account has been agreed in writing.
3. We accept payment by credit and debit card, Mada, STC Pay, Apple Pay and other methods displayed at checkout.
4. Prices may vary by vehicle type, route, date and time. The price confirmed at booking is the price you pay.

03 What Is Included

04 Passenger Document Requirements

In compliance with Saudi Transport Authority regulations, BookSaudia is required to collect and submit a passenger manifest for all journeys. After payment, you will be requested to provide the following for each passenger:

• Full name as per travel document
• Document type: Visa / Visa on Arrival / Iqama (Resident)
• Document number and expiry date
• Passport number (for Visa and Visa on Arrival passengers)

Failure to provide complete passenger details at least 2 hours before the journey may result in the journey being unable to proceed. No refund will be issued in this circumstance.

05 Luggage Allowance

Luggage is limited to the capacity of the booked vehicle. BookSaudia is not liable for damage to or loss of luggage.

Passengers travelling with Zamzam water or unusually large luggage must notify us at the time of booking. BookSaudia reserves the right to charge for additional vehicle capacity if luggage significantly exceeds the standard allowance.

06 Child Seats

Child seats are available on request at no additional charge. Please request a child seat when making your booking or contact us at least 24 hours before your journey. BookSaudia cannot guarantee child seat availability for requests made less than 24 hours before departure.

07 Conduct in Vehicles

1. You must be ready at the confirmed pickup location at the confirmed time.
2. You must provide accurate and complete passenger document details as required by Saudi Transport Authority regulations.
3. You must not behave in a way that endangers the driver, other passengers or other road users.
4. The following are strictly prohibited in all BookSaudia vehicles:
   Smoking Alcohol consumption Prohibited substances
5. Passengers must wear seatbelts at all times where fitted, must not distract the driver, and must treat the vehicle and driver with respect.

BookSaudia reserves the right to terminate a journey without refund if any passenger's behaviour poses a safety risk or causes significant distress to the driver or other passengers.

08 Flight Delays & Waiting Time

1. For airport pickup transfers, BookSaudia monitors your flight in real time. If your flight is delayed by up to 60 minutes, your driver will wait at no additional charge.
2. For delays exceeding 60 minutes, BookSaudia will use reasonable endeavours to accommodate you subject to driver availability. Additional waiting charges may apply at SAR 30 / £6 per 30 minutes.
3. For all other pickups, drivers will wait up to 15 minutes after the confirmed pickup time. After this point the booking may be treated as a no-show.
4. If your flight is cancelled please notify BookSaudia immediately. Cancellation terms apply as set out in Section 9.

09 Cancellation & Refund Policy

This section sets out your rights when cancelling a booking made through booksaudia.com. It is compliant with the UK Consumer Contracts Regulations 2013, the Consumer Rights Act 2015 and the Saudi Consumer Protection Law.

9.1  How to Cancel

All cancellations must be made by contacting our support team:

• Email support@booksaudia.com with your booking reference, or
• WhatsApp our support team on the number provided in your confirmation

Cancellations must be made by the lead passenger or the travel agent who made the booking. Cancellation requests are processed within 2 business hours during operating hours (07:00–22:00 KSA time).

9.2  Refund Schedule

Refunds are processed within 5–10 business days to the original payment method.

9.3  Non-Refundable Situations

• Cancellations made less than 24 hours before the scheduled journey time
• No-show at the confirmed pickup location
• Failure to provide required passenger document details causing journey cancellation
• Cancellation due to passenger behaviour resulting in removal from the vehicle
• Bookings made as part of a non-refundable promotional offer or package

9.4  Modifications to Bookings

You may request to modify your booking (change date, time or pickup location) subject to availability. Modification requests made more than 24 hours before the journey are free of charge. Modifications requested less than 24 hours before the journey may incur an administration fee of SAR 50 / £10.

9.5  Group & Agent Bookings

For group bookings of 10 or more passengers, cancellation must be made more than 72 hours before the journey to receive a full refund. Cancellations made within 72 hours of a group journey are non-refundable. Partial cancellations within a group booking (reducing passenger numbers) are subject to the standard schedule above.

9.6  Refund Method

All refunds are returned to the original payment method used at the time of booking. We do not issue cash refunds. Refunds to international cards may take longer depending on your bank. If you paid via travel agent, the refund is returned to the agent's account.

9.7  Disputes

If you believe a cancellation or refund has been handled incorrectly, contact us at support@booksaudia.com. We will investigate and respond within 5 business days. You also have the right to refer disputes to your card issuer or to Citizens Advice (UK) or the Saudi Consumer Protection Authority (Saudi Arabia).

10 Our Obligations

1. BookSaudia will use reasonable endeavours to provide the transfer service at the time and location confirmed in your booking.
2. All drivers are vetted, licensed and insured in accordance with Saudi Transport Authority requirements.
3. All vehicles are maintained to the required standard and subject to daily inspection before operation.
4. In the unlikely event we are unable to fulfil your booking, we will notify you as soon as possible and offer a full refund or alternative arrangement.

11 Limitation of Liability

1. BookSaudia's total liability to you for any claim arising from a booking shall not exceed the total value of that booking.
2. BookSaudia is not liable for any indirect or consequential loss including missed flights, missed connections or loss of income.
3. BookSaudia is not liable for delays caused by traffic, road closures, adverse weather or other circumstances beyond our reasonable control.
4. Nothing in these Terms limits liability for death or personal injury caused by negligence or for fraudulent misrepresentation.

12 Governing Law

These Terms are governed by the laws of England and Wales. For bookings originating in or relating to Saudi Arabia, applicable Saudi law shall also apply. Any disputes shall be subject to the jurisdiction of the courts of England and Wales.
